About the role:

We’re looking for a warm, organized, and proactive Office Experience & Admin Coordinator to serve as the welcoming face of our office and provide reliable administrative support to a few of our executives. This role focuses on front desk coverage, creating a positive day-to-day office experience for team members and visitors, and assisting with executive-level coordination. You’ll work to ensure a smooth and professional environment for everyone.

What You’ll Do:

Front Desk & Office Experience:

  • Be the first point of contact for visitors, clients, and employees—greeting everyone with professionalism and warmth

  • Manage incoming calls, mail, and deliveries

  • Ensure the front desk and common areas are tidy, stocked, and guest-ready at all times

  • Help with meeting room readiness and occasional event support (e.g., team lunches, visiting guests)

Administrative Support:

  • Provide calendar and scheduling support for a few key executives

  • Assist with booking travel, processing expense reports, and light project coordination

  • Prepare meeting materials, take notes when needed, and support occasional research or follow-up tasks

  • Maintain confidentiality and professionalism while handling sensitive information

What We’re Looking For:

  • 3–5 years of experience in a receptionist, administrative support, or office coordination role

  • Prior experience supporting senior executives or C-level leaders is preferred

  • Excellent communication and interpersonal skills

  • Highly organized with a proactive, “no task too small” attitude

  • Comfortable using tools like Google Workspace, Zoom, and Slack

  • Able to work on-site full-time and maintain a consistent front desk presence
